About The Role

Four Leaves Digital is a digital marketing agency specialising in the hospitality sector across the UAE, KSA, and the UK. We’re on the hunt for an organisational superhero — someone who thrives on bringing order to chaos, keeps ten plates spinning without breaking a sweat, and takes genuine pride in making everything run like clockwork. You’ll be the operational backbone of the business, working directly with the founder across every corner of the company. From finance and HR to calendars, communications, and everything in between — if it needs doing, you’re on it.

WHat You'll Do

  • – Manage the founder’s inbox — triaging emails, drafting responses, and ensuring nothing slips through the cracks.
  • – Coordinate calendars, schedule meetings, set reminders, and prepare briefing notes ahead of key calls — using AI tools to generate accurate meeting minutes and action points.
  • – Prepare and send client invoices, reconcile accounts, and submit expense receipts to the accounting agency.
  • – Maintain accurate financial records and flag discrepancies proactively.
  • – Track team leave, maintain HR records, and support KPI monitoring.
  • – Manage and update project trackers in Notion, keeping workflows and deadlines on point.
  • – Organise and maintain digital files across Google Drive — structured, accessible, and up to date.
  • – Use AI tools to streamline workflows, draft communications, and improve efficiency across the board.
  • – Handle all other general admin tasks as the business requires — this is a wide-ranging role

Must - haves

  • – 2–4 years in admin / ops roles
    – Strong Excel & Google Sheets
    – Proficient in Notion
    – Excellent written English
    – Basic accounting / invoicing experience
    – Comfortable using AI tools (ChatGPT, Claude, etc.)
    – Highly organised & self-managed
    – Proactive — spots problems before they happen

Location

  • Fully remote. We welcome applicants within a 1–2 hour time difference from Dubai (UTC+4), including but not limited to: GCC, South Africa and India

What We Offer

  • – Remote salary — AED 4,500–6,000/month (based on experience)
